Event venue configuration consulting

Service description

Event venues face a unique challenge: the same space must serve weddings, conferences, galas, and community gatherings, each with different seating, staging, and flow requirements. We develop a library of named configurations for your venue, complete with setup guides your staff can follow, so every event runs smoothly from the first chair to the last table.

01Who this service is for

This service is designed for banquet halls, community centres, hotel ballrooms, and any event space in Calgary that hosts a variety of event formats throughout the year. If your staff are re-inventing the room layout from scratch before every event, or if you are leaving capacity on the table without realizing it, this engagement is built for you.

It is also well suited to venues that are opening or reopening, venues that have recently acquired new furniture or a portable stage, and spaces that want to ensure their layouts meet fire-code occupant load requirements while still feeling welcoming to guests.

02How the process works

We begin with a full venue survey on site — measuring the space, noting fixed features such as columns, service entries, and emergency exits, and reviewing your current capacity documentation. That survey takes one day and gives us the accurate baseline everything else depends on.

From the survey we develop up to four named event configurations — for example, banquet, theatre, reception, and classroom — each with a staff setup guide and clear diagrams. We also review staging and dance-floor placement options and conduct an accessibility and emergency-egress check. The complete deliverable package is ready within ten business days of the survey.

03The configuration library your staff will actually use

A configuration library is only useful if the people setting up the room can follow it without calling a manager. Every setup guide we produce is written and diagrammed for the staff who will be moving chairs and tables at six in the morning before a wedding, not for a consultant reading it in an office.

Each named configuration includes a diagram, a step-by-step sequence, and notes on the placement of staging, dance floors, and accessible seating. When a new event type comes along, additional named configurations can be added to the library at any point.

04Accessibility and compliance built in

Every configuration we produce is reviewed against applicable fire-code occupant load requirements and accessibility considerations. We often find that a revised arrangement can accommodate more guests while remaining fully compliant — which means more revenue potential without any structural changes.

Accessibility is not treated as an afterthought. Aisle widths, accessible seating zones, and clear egress paths are factored into every configuration from the start, so your venue is ready for guests of all abilities at every event format.

05What you receive at the end of the engagement

The deliverable package includes a venue survey summary, up to four fully documented named configurations with staff setup guides and diagrams, staging and dance-floor placement options, and an accessibility and egress review. All files are provided in both PDF and editable format so your team can print, display, or adapt them as needed.

Having everything in an editable format also means that when your venue changes — new furniture, a partition addition, a stage rebuild — you are not starting from scratch. We recommend a review of the configuration library whenever a significant physical change occurs, or periodically as event formats evolve.

06A team that knows Calgary's event culture

Pastor Chairs Consulting has worked with community halls, banquet venues, and gathering spaces across Calgary. We understand that a Saturday-night gala and a Sunday-morning community breakfast can happen in the same room, and that the people setting up that room are often volunteers or a small hospitality team working under time pressure.

Our configurations are designed with that reality in mind — practical, clear, and grounded in how Calgary venues actually operate. Because we are based here, we are also available for follow-up conversations as your event calendar evolves, not just at the end of the engagement.

Frequently asked questions

Can you help us maximize our licensed capacity?

Yes. We review your current layout against the applicable fire-code occupant load calculations and often find that a revised arrangement can accommodate more guests while remaining fully compliant.

Do you coordinate with audio-visual or catering suppliers?

We focus on the physical layout and flow. We are happy to share our drawings with your AV or catering teams so they can plan their setups around the approved configuration.

How often should we update our configuration library?

We recommend a review whenever the venue undergoes a physical change — new furniture, a partition addition, a stage rebuild — or every 3 to 5 years as event formats evolve.
