Step one: the discovery call
Every engagement begins with a conversation — free, and without obligation. The consultant asks about your space, the challenges you are experiencing, and what a successful outcome looks like for your organization. This call shapes the scope of the proposal and ensures the right services are recommended. It also gives you a chance to ask questions and get a sense of how the firm works.
Step two: proposal and agreement
Following the discovery call, you receive a written proposal that sets out the scope of work, the deliverables, the timeline, and the fixed fee. Nothing begins until you have reviewed and agreed to the proposal. If the scope needs adjustment — for example, if you want to add a room or a second service — that is discussed and agreed before any fee changes.
Step three: the site visit
The consultant visits your facility to measure, observe, and gather data. For an ergonomics assessment, this means visiting every workstation, measuring reach zones and monitor distances, and observing how people actually sit and work. For a seating layout or acoustic engagement, it means measuring the floor plan, recording acoustic readings with calibrated instruments, and noting how people move through the space. Site visits are scheduled to minimize disruption to your operations.
Step four: analysis and report preparation
Back at the office, the consultant analyses the data — modelling layout scenarios, calculating acoustic predictions, or mapping ergonomic risk zones — and writes a clear, prioritized report. Recommendations are practical and specific. Where drawings are part of the deliverable, they are produced to scale and formatted for sharing with contractors or architects.
Step five: presentation and follow-up
The findings are presented to your team — leadership, facilities staff, or whoever needs to act on the recommendations. Questions are answered, next steps are confirmed, and a follow-up check-in is scheduled to support implementation. For most services, a follow-up site visit is included to verify that changes have been made correctly.
- Free discovery call to scope the right engagement
- Written proposal with fixed fee before any work begins
- On-site measurement and observation by a single named consultant
- Analysis and report prepared using measured data
- Scaled drawings provided where relevant
- Presentation to your team with a follow-up check-in included
A facility layout or ergonomics engagement follows a clear, five-step process: discovery call, written proposal, site visit, analysis and report, and presentation with follow-up. Each step is designed to be transparent, low-disruption, and grounded in measured data rather than guesswork.
Frequently asked questions
How long does the whole process take?
Most single-service engagements are completed within two to three weeks from the initial discovery call. Bundled or multi-service projects typically take three to six weeks.
Will the same consultant handle the whole project?
Yes. A single consultant leads your project from the site visit through to the final presentation. That continuity means nothing gets lost in handoffs and you always know who to contact.
What do I need to prepare before the site visit?
Very little. If you have existing floor plans in CAD or PDF format, sharing those in advance can reduce the time needed on site. Otherwise, the consultant arrives with everything needed to conduct the assessment.
